Anyway, if we shall do this campaign for the following April, we should announce it by mid-february (latest), and find a better way to transfer money to lotus.
Also, there was too much unnecessary admin work. First of all, HR should not be the one who provide name list of employee, we may able to provide names from SAP, but final soft file should come from each plant (its more convenient esp where there is any change and HR might not know or system is not updated). Then they can use the correct file to get employees signature. As we have to send the data back to finance team, we will be the one who help each plant re-check the data once we got both signature and soft file from each plant. We need to inform each plant very clear , that data is very important to keep since there shall def be a tax issue and also that we will charge the cost to each plant.
In conclusion
Feb- announce incentive and communicate to each plant
(it has to be clear that the voucher will be distributed on the 1st of may only, so that we have enough time to check data and send to payroll (by the 15 of each month))
Early March- Finalise vouchers requested per plant (we might ask them to provide number of meal coupons as well)and order lotus
End march- get the voucher from amount requested per plant + 10% spare
By the end of April- each plant update their soft file of who came to work and report , then HR will provide them the exact amount.
1 of May: Each plant distribute them to employee, update soft file and hard copy with signature-( if they do this they will automatically know whether they meet their expectation or not)
By 6-13 of May (I will be away from 3-13 May): send email for each plant to return data, then call for follow up. We should follow up this quickly this time via email and cc all FF for faster procedure.
By 15 May, HR will help them recheck(this should be ok though since each plant already provide soft file of total voucher recipients), then send this to K duangdao by the 14 the latest- so she can consolidate names for CP employees.
